The Printer Depot Warranty Policy
Thank you for purchasing from The Printer Depot. Please read the following terms and conditions carefully so you understand what is covered under this warranty.
1. Definitions

• Warranty Plan Price: Varies by product
• Coverage Start Date: Date of purchase
• Waiting Period: None (coverage begins immediately)
• Coverage Term: 30 days to 39 months
• Covered Product: The purchased item
• Coverage Amount: Purchase price of the product
• Coverage Type: Selected level of coverage
2. Warranty Coverage
This warranty covers mechanical or electrical failures under normal use.
Replacement parts may be new, rebuilt, or non-OEM (meeting factory specifications), at our sole discretion.
This warranty does not replace or override the manufacturer’s warranty.
⚠️ Important: This warranty policy is NOT a return policy.
A. Printers
Coverage includes parts and guidance, at our discretion, for:
• Shipping damage
• Defects in materials or workmanship (determined solely by The Printer Depot)
• Power surge or fluctuation (see Section 11)
• Damaged buttons or connectivity ports
• Defective display pixels
• Internal overheating or abnormal noise
Specific coverage details are listed in your Order Summary.
3. Optional Coverage
1-, 2-, or 3-year warranty options are available.
Coverage does not include additional services outside of what is stated.
4. Submitting a Warranty Claim
Email Sales@theprinterdepo.com with a description of the issue.
We will first attempt to troubleshoot. If unresolved, we will provide repair or replacement options.
5. How We Service Your Item
We may, at our discretion:
• Repair your product
• Provide a standard exchange
• Provide an advanced exchange (25% restocking fee may apply)
• Issue a refund (product cost only; fees may apply)
Additional Terms
• Remanufactured replacements may be used
• Starter toner cartridges are final sale (AS-IS)
• After 30 days:
• No returns under any circumstances
• Buyer responsible for all shipping costs
6. Conduct, Payment & Warranty Enforcement Policy
The Printer Depot reserves the right to suspend, limit, or void warranty coverage and/or refuse service under the following conditions:
• Outstanding balances on any account
• Chargebacks, disputes, or withholding of funds while in possession of product
• Abusive, threatening, or demeaning conduct toward staff
• Past-due core returns (including fuser cores), which may void all warranties on the account
Failure to pay freight-related fees, including:
• Liftgate
• Residential delivery
• Inside delivery
• Detention / re-delivery / appointment fees
7. Chargebacks, Disputes & Withheld Funds
Any chargeback, dispute, or attempt to withhold funds while in possession of product constitutes a violation of our Terms of Service.
The Printer Depot reserves the right to:
• Assess a $15 payment processing fee
• Suspend or void warranty coverage
• Initiate collection efforts
• Recover all applicable fees, costs, interest, and penalties to the fullest extent permitted by applicable federal and state law.
8. Place of Service
• All service is performed in Dallas, TX
• On-site service available in North Texas within 30 days
• Trip fees apply after 30 days
• Shipping labels only provided within first 30 days
9. Limit of Liability
Liability is limited to the purchase price of the product.
The Printer Depot is not responsible for:
• Loss of business or revenue
• Installation costs
• Maintenance costs
• Third-party technician costs
⚠️ Warranty is void if third-party repairs are performed.
10. Customer Responsibilities
Customers must:
• Provide proof of purchase
• Accurately describe issues
• Cooperate with troubleshooting
• Maintain the product properly
• Respond within 30 days
Failure to comply may result in denial of warranty coverage.
11. What Is Not Covered
• Third-party repairs
• Consumables (toner, fuser, rollers, pads, drums, etc.)
• Misuse or improper handling
• Environmental damage
• Cosmetic damage
• Serial number tampering
• Theft or loss
• Manufacturer recalls
12. No Lemon Policy
Repeatedly insufficiently repaired products may be eligible for replacement or return at The Printer Depot’s discretion.
13. Power Surge Protection
Coverage applies only when a proper surge protector is used.
Surge protector may be requested for inspection.
14. Shipping
• Free within 30 days
• After 30 days: customer pays all shipping costs
15. Geographic Coverage
Coverage limited to the 48 contiguous United States.
Warranty is void outside this area.
16. Transfer of Warranty
Warranty is non-transferable except approved blind drop shipments.
Original purchaser remains point of contact.
17. Cancellation Policy (Not a Return Policy)
A cancellation applies only to orders that are still being processed and have not yet shipped from our facility.
• Orders may be canceled prior to shipment by contacting Sales@theprinterdepo.com
• Once an order has shipped or been delivered, it is no longer eligible for cancellation and will be treated as a return request

Returns & Refunds (Separate from Cancellation)
All return requests are subject to our Refund Policy:

• Within 30 days: Returns may be approved in accordance with our refund policy
• After 30 days: Any approved refund will be issued minus a 25% restocking fee, as well as initial and return shipping costs
• Included warranties: Non-refundable

This warranty is not an insurance policy.
